Executive Assistant / Administrative Assistant (Temporary Appointment) (Ref.
250702009)
[Appointment period: twelve months initially, with possibility of further appointment]

Duties

The appointee will be required to:

(a)    provide general support to the Department’s academic programmes and related centralised exercises such as admission, class time-tabling, subject registration and examination;

(b)    liaise with internal units and external organisations, including professional bodies;

(c)    assist in the organisation and operation of special projects, events and functions;

(d)    assist in compiling reports;

(e)    assist in general office administration and maintain effective record system and database; and

(f)    perform any other duties as assigned by the Head of Unit or his delegates.

Qualifications

Applicants for the Executive Assistant post should have a recognised degree or an equivalent qualification, preferably with one to two years of post-qualification administrative experience.

Applicants for the Administrative Assistant post should possess five passes in HKCEE including English Language (at least Grade C if Syllabus A; Level 2 if results are obtained from 2007 onwards), Chinese Language (Level 2 if results are obtained from 2007 onwards) and Mathematics; or a combination of results in five HKDSE subjects of Level 2 in New Senior Secondary subjects / "Attained" in Applied Learning subjects / Grade E in Other Language subjects, and the five subjects must include English Language, Chinese Language and Mathematics.

For both posts, applicants should:

(a)    have good hands-on computer skills, e.g., MS Word, Excel, etc.;

(b)    have good communication, teamwork and interpersonal skills;

(c)    be able to work independently and proactively; and

(d)    have a good command of both written and spoken English and Chinese, with fluency in Putonghua.

Shortlisted candidates may be invited to sit for a written test.
