The Faculty of Science has over 3,600 students guided by more than 400 teaching and research staff, and has six major teaching units offering a wide range of undergraduate and postgraduate programmes.

 

The appointee will work under the Research and Postgraduate (PG) Education Team of the Faculty Office. Reporting to the Faculty Secretary, the appointee will provide comprehensive administrative, operational, and secretarial support to the Faculty Office.



Duties include
(a) co-ordinating admissions, nominations, and qualification verification for various PG portfolios, including the taught postgraduate (TPg) programme, the Hong Kong PhD Fellowship Scheme (HKPFS) exercise, and strategic funding/training schemes;
(b) supporting academic planning, budgeting, scholarships, and programme reviews/re-approvals;
(c) organising and executing regular and ad hoc Faculty events, ceremonies, and academic seminars/conferences, including providing logistical support and drafting official publicities;
(d) providing secretarial and logistical support for daily operations, committee meetings, and institutional initiatives;
(e) liaising with internal departments/units and external partners to facilitate smooth operations; and
(f) performing other duties as assigned. Overtime work during non-office hours, including weekends, will be required occasionally. 
 
Applicants should have
(i) a Bachelor’s degree;
(ii) at least 2 years’ post-qualification administrative experience at tertiary institutions in PG programmes;
(iii) proficiency in computer applications, such as MS Office365 and Chinese word-processing;
(iv) an excellent command of written and spoken English and Chinese (including Putonghua);
(v) strong problem-solving, organisational, multi-tasking, and interpersonal skills;
(vi) the ability to work effectively in a team as well as independently; and
(vii) experience in project management and/or marketing.
Having experience in compliance exercises such as HKCAAVQ accreditation and CEF course applications, and knowledge of event planning and design, will be an advantage.
 
Shortlisted candidates will be invited to sit for a written test. 
Appointment will initially be made on contract basis for up to 2 years (with contract-end gratuity for a 2-year contract) commencing as soon as possible, renewable subject to good performance and mutual agreement.
